Privacy Policy
This Privacy Policy explains how LLC “Radix System” (ООО «Система Координат»), operating the Plazify platform, collects, uses, discloses, and protects personal information of users. We are committed to safeguarding your privacy and ensuring the security of your personal data. This Policy is drafted in accordance with the requirements of the Russian Federal Law dated 27.07.2006 No. 152-ФЗ “On Personal Data” and other applicable privacy laws. It outlines the principles and procedures of personal data processing at Plazify, the rights of users regarding their data, and our obligations as a data operator. By using the Plazify website and services, you agree to the terms of this Privacy Policy and give consent to the processing of your personal data as described herein. If you do not agree with any terms, please discontinue use of our services.
1. Terms and Definitions
In this Policy, unless otherwise specified, the following terms have the meanings set forth below (in accordance with Russian law and regulations):
“Personal Data” refers to any information relating directly or indirectly to an identified or identifiable individual (“Personal Data Subject”). This includes information such as name, contact details, identification numbers, as well as data that can be linked to a person (e.g., email, IP address when linked to a user, etc.).
“Operator” (or “we/us”) means LLC “System of Coordinates” (ООО «Система Координат»), which independently or jointly with others organizes and (or) carries out the processing of personal data, as well as determines the purposes of processing personal data, the composition of personal data to be processed, and actions performed on personal data. For the purposes of this Policy, Plazify (ООО «Система Координат») is the Operator of users’ personal data.
“Processing of Personal Data” means any action (operation) or a set of actions performed with or without the use of automation tools on personal data, including collection, recording, systematization, accumulation, storage, clarification (update, change), retrieval, use, transfer (distribution, provision, access), blocking, deletion, and destruction of personal data.
“Confidentiality of Personal Data” means a requirement for the Operator and other persons who have obtained access to personal data to not disclose or distribute personal data to any third party without the consent of the subject of personal data, unless otherwise provided by law.
“Plazify Platform” or “Website” refers to the collection of web pages and services under the domain plazify.com (or relevant local domain) and managed by the Operator, which users access over the Internet for Plazify’s services.
“User” (or “you”) means any individual (including representatives of businesses) who accesses or uses the Plazify website or services and whose personal data is processed. The User is considered the subject of personal data under this Policy.
Other terms and definitions used in this Policy (such as “Provision of Personal Data”, “Dissemination of Personal Data”, “Cross-Border Transfer of Personal Data”, “Destruction of Personal Data”, etc.) are used in the meanings given by the applicable laws on personal data or defined in relevant sections of this Policy.
2. General Provisions
Operator Information: Processing of Users’ personal data is carried out by the Operator: LLC “Radix System” (ООО «Система Координат»), INN 6200003169, OGRN 1246200001850. Registered address: 390000, Ryazan city, Radischeva st., premises 2N, office 9. The Operator is included in the register of personal data operators as required by law (if applicable). You may contact the Operator regarding personal data matters at the contact details provided in Section 9 of this Policy.
Applicability: This Privacy Policy applies to all personal data that we obtain from Users through the Plazify website, web application, and related services. It covers data collected via online forms, user accounts, email correspondence, cookies (see our Cookie Policy), as well as data provided by Users through any other interaction with Plazify. This Policy does not apply to any third-party websites or services that may be linked from our platform; we are not responsible for the content or privacy practices of those external resources.
Consent and Use of Services: By providing your personal data to us (for example, by registering on the site, filling out forms, or contacting support) and by using our services, you acknowledge that you have read this Policy and agree to its terms, including any updates (as described in Section 10). In certain cases (such as during account registration or form submission), we may ask you to explicitly confirm your consent by ticking a checkbox or clicking a button. If you do not agree with this Policy, you should not use the Plazify platform. Continued use of the site signifies your unconditional acceptance of this Policy.
Legal Basis: We process personal data on one or more of the following legal bases: (a) your consent to personal data processing (e.g., by accepting this Policy, ticking a consent box); (b) processing is necessary for performance of a contract to which you are a party or to provide services at your request (e.g., user agreement fulfillment); (c) processing is necessary for compliance with legal obligations (e.g. accounting, reporting, responding to lawful requests by authorities); (d) processing is necessary for purposes of legitimate interests pursued by us or third parties (such as improving our services, ensuring IT security), provided this does not override your rights and freedoms. Where consent is our basis, you have the right to withdraw consent at any time (see Section 8 on user rights), which will not affect the lawfulness of processing before withdrawal.
Data Minimization: We collect and process only the personal data that is adequate, relevant, and limited to what is necessary in relation to the purposes for which it is processed. We do not collect any sensitive personal data (such as racial/ethnic origin, political opinions, health information, etc.) unless required and with your explicit consent or as permitted by law.
Accuracy: You are responsible for providing accurate personal data and keeping it up-to-date. We rely on the data you enter, and do not ordinarily verify it for accuracy. If your data changes (for example, you change your email address or phone number), please update your account information or notify us so we can correct our records. We shall take steps to rectify or erase any personal data that is inaccurate or outdated, once we become aware of it.
3. Personal Data We Collect
We may collect the following categories of personal data from Users:
Information You Provide Directly: When you register for Plazify or use our services, we ask for certain data. This may include: name, email address, phone number (if provided), company/organization name (for business users), position/title, and password (stored in hashed form). For example, during sign-up you might provide your name and email, and create a password. If you fill out a profile, you may provide additional information such as a profile picture or address. Any information you enter into forms on the site (e.g., contact forms, support requests) is collected. This includes inquiries or feedback you send us.
Payment Information: If Plazify is a paid service and you make transactions, we (or our third-party payment processor) might collect payment details. This could include billing name and address, and partial credit card information. Note: we do not store full credit card numbers or sensitive payment data on our servers; such data is typically handled by secure third-party payment providers in compliance with PCI DSS, and we receive only a token or confirmation.
Automatically Collected Data: When you use Plazify, our system automatically collects technical data: IP address, browser type and version, device type, operating system, referring website, pages visited, clicks and actions on the site, dates and times of access, and other log information. We also use cookies and similar technologies to collect data on user interactions (see Cookie Policy for details). For example, if you log in, we record the time and your IP for security; if you use features, we may log usage stats. This data may be linked with your account.
Cookies and Tracking Technologies: As detailed in our Cookie Policy, we use cookies to collect data like login status, preferences, and usage analytics. Cookies might indirectly identify you (like linking to your account) and thus are treated as personal data in some cases. You can control cookies as described in that policy.
User Communications: If you contact us (via support email or form), we collect the information in your communications. This might include your contact details, the content of your inquiry, and any attachments. We also keep records of our correspondence and responses.
Third-Party Sources: We generally collect data directly from you. However, if you choose to log in via a third-party service (for instance, if we enable login via Google or other OAuth providers), we may receive certain profile information from them (such as your name and email) as per that service’s authorization. Also, if a colleague or friend refers you to our service or shares data with us on your behalf, we might receive your name and email to invite you.
Content and Data You Submit to Plazify: If Plazify allows you to upload or import data (for example, if you use Plazify to analyze datasets or store information), any such content might include personal data. In such cases, you are responsible for ensuring you have the right to upload that data. We process that data on your behalf as a data processor, not for our own purposes. (See Section 4 below on usage purposes, including user content.)
We do not knowingly collect personal data from children under 18. Plazify is a business-oriented platform and not directed to minors. If we become aware of having personal data of a minor without proper consent, we will delete it.
4. Purpose of Personal Data Processing
We collect and process personal data of Users for the following purposes:
Provision of Services: To create and maintain your account, authenticate you, and provide the functionalities of the Plazify platform. For example, we use your registration data to set up your user account and allow you to log in, and we use contact information to deliver any services or digital products you request.
Customization of User Experience: To personalize your experience on Plazify. This may include using your preferences and interactions to tailor content or features for you, such as remembering your interface language, and presenting information relevant to your industry or interests.
Communication with Users: To communicate with you regarding your use of the platform. This includes sending administrative emails (for example, confirmations, technical or security alerts, password reset instructions), notifications about important updates or changes to services, and responding to your inquiries or support requests. If you provided consent, this may also include sending newsletters or marketing communications about new features or offers (with the option to unsubscribe at any time).
Customer Support: To provide technical support and customer care, process your support requests, address issues you encounter, and improve support outcomes. For instance, we will use information in your support tickets to help resolve your problem and may follow up to ensure it’s resolved.
Improvement and Development: To analyze how our Users utilize Plazify, in order to improve the service’s functionality, performance, and user-friendliness. We process usage data and feedback to debug issues, develop new features, and inform decisions on service enhancements. This also includes conducting statistical and other research on an anonymized or aggregated basis.
Security and Fraud Prevention: To ensure the security and integrity of the platform and Users’ accounts. Personal data is used to monitor for suspicious or unauthorized activities, verify identities, and mitigate fraudulent or malicious actions. For example, we may use IP addresses and login history to detect brute-force login attempts or multiple account abuse.
Compliance with Legal Obligations: To comply with applicable laws, regulations, and court orders. This may involve processing data for accounting and financial reporting, handling user requests to exercise data rights, or providing information to law enforcement authorities when legally obliged. We also keep certain records to demonstrate compliance (e.g., consents given, communications regarding data breaches if any).
Enforcement of Terms and Protection of Rights: To enforce our User Agreement/Terms of Service and other legal terms applicable to you, and to protect our rights, privacy, safety, or property, and/or that of you or other third parties. For instance, we may use personal data to prevent spam, abuse, or activities that violate our terms, and to resolve disputes if they arise.
Other Purposes with Consent: If we intend to process personal data for any purpose not listed above, we will obtain your prior consent. For example, if we ever plan to publish user testimonials with personal info or share data with partners for their own marketing, we would only do so with your explicit consent.
We ensure that each purpose is aligned with at least one legal basis for processing (as outlined in Section 2.4). We do not process personal data in ways that are incompatible with these purposes without additional consent.
5. Sharing and Disclosure of Data
We treat your personal data with care and confidentiality. Access to personal data within our company is granted on a “need-to-know” basis to authorized personnel (such as support, engineers, management) who require it to perform their duties. We do not sell or rent personal data to third parties. We may share or disclose your data only in the following circumstances:
Affiliates and Subsidiaries: If LLC “System of Coordinates” has affiliate companies or subsidiaries involved in operating Plazify or providing services, your data may be shared with them, but only under conditions consistent with this Policy. All such entities abide by the same privacy obligations.
Service Providers (Processors): We use third-party service providers to support our operations – for example, cloud hosting providers, data centers, email delivery services, analytics services (like Google Analytics, Yandex.Metrica), customer support software, payment processors, etc. These third parties may process personal data on our behalf for the stated purposes (e.g., storing data on a secure server, sending out emails, analyzing usage). In such cases, we ensure there is a contract in place (Data Processing Agreement) requiring the provider to only use the data per our instructions and to protect it. Examples: our hosting provider stores your account data on their servers; our email service processes your email address to send verification emails.
Partners with Your Consent: If Plazify runs promotions or integrations with partner organizations where sharing of data is needed (for example, you sign up for a webinar co-hosted with a partner and consent to sharing contact info), we will inform you and obtain consent. Only in such cases, and only specified data, will be shared with those partners.
Legal Requirements: We may disclose personal data to third parties if required to do so by law or in response to a valid request by a competent authority (e.g., court, law enforcement). We will only provide the information that is necessary and required. Additionally, if we believe in good faith that disclosure is necessary to protect our rights, enforce our terms, investigate fraud or security issues, or protect users, we may do so to the appropriate entities (for instance, sharing with law enforcement if a user is engaged in unlawful activities).
Business Transfers: If we undergo a business transaction such as a merger, acquisition by another company, reorganization, or sale of all or part of our assets, user personal data may be among the assets transferred to the new owner. In such an event, we will ensure the confidentiality of personal data is maintained and provide notice before personal data is transferred or becomes subject to a different privacy policy.
At Your Direction: We will share your information with third parties if you specifically request or direct us to do so. For example, if you use Plazify to share data or collaborate with other users, any personal data you intentionally share will, of course, be visible to those recipients. Another example is using a feature to publish content to a third-party service (if available).
We require all third parties with whom we share personal data to provide an adequate level of protection for your information, commensurate with legal requirements. Whenever personal data is transferred outside our direct control (for instance, to a service provider), we take steps to ensure it remains protected (such as through contractual commitments, assessing the provider’s security measures, etc.).
6. Cross-Border Data Transfer
Data Storage Location: The personal data of Users is principally stored and processed on servers located in the Russian Federation. We adhere to the requirement of Russian law that databases used for recording and storing personal data of Russian citizens are located in Russia.
International Transfers: In certain cases, for technical and operational reasons (such as using cloud infrastructure or service providers located outside Russia), your personal data may be transferred to and processed in countries other than Russia. For example, if we use an email delivery service or an analytics tool with servers in the EU or the USA, some data may be transmitted to those regions. When we transfer personal data internationally, we ensure that:
The transfer is made to countries that provide an adequate level of personal data protection as determined by applicable law, or
We have implemented appropriate safeguards, such as standard contractual clauses or other legal transfer mechanisms, to protect your data, or
We have obtained your explicit consent for the cross-border transfer of your data to a given jurisdiction.
By using Plazify and providing your information, you consent to the possible cross-border transfer of your personal data to countries ensuring adequate data protection, including countries of the Eurasian Economic Union (EAEU) and others that meet the requirements. We will always strive to minimize the extent of data transferred and ensure any foreign processors handle your data securely and in line with this Policy.
7. Data Retention and Security
Retention Period: We keep personal data for as long as necessary to fulfill the purposes for which it was collected, unless a longer retention period is required or permitted by law. For example:
Account information is kept as long as your account is active. If you delete your account, we will delete or anonymize personal data within a reasonable time after the deletion request, except for data we are required to keep by law (e.g., transaction records, consents) or have a legitimate interest to retain (e.g., logs for security).
Communication records (support tickets, emails) are typically retained for a period necessary for quality assurance and to have a history of our interactions, usually for up to 5 years, unless you request earlier deletion and we have no legal necessity to keep them.
Analytics data may be retained in aggregated, non-identifiable form indefinitely for historical analysis. We regularly review the data we hold and erase or anonymize personal data that is no longer needed for any business or legal purpose.
Security Measures: We implement appropriate technical and organizational measures to protect personal data against unauthorized or unlawful access, alteration, disclosure, or destruction. These measures include:
Encryption of data in transit (e.g., using SSL/TLS for our website) and encryption of sensitive data at rest where applicable (such as hashing passwords).
Access control mechanisms: personal data is accessible only by authorized personnel who require access to perform their duties, each with unique credentials and subject to confidentiality obligations. We employ network security measures (firewalls, intrusion detection systems) to prevent unauthorized network access.
Regular security assessments and updates: we keep our software and infrastructure updated, perform vulnerability scans, and use industry best practices to prevent security breaches. We also monitor our systems for potential attacks or anomalies.
Organizational policies: our team is trained on data protection principles and procedures. We have internal policies to handle data securely (for instance, rules for using personal data in support, breach response plans, etc.). We have appointed a person responsible for organizing personal data processing and security compliance. Despite our efforts, no method of transmission over the Internet or electronic storage is completely secure. Therefore, while we strive to protect your data, we cannot guarantee absolute security. In the unlikely event of a data breach affecting your personal data, we will notify you and the appropriate authorities as required by law.
8. Your Rights as Data Subject
As a user of Plazify and a subject of personal data, you have certain rights regarding your personal data under applicable law (including Chapter 3 of Federal Law 152-ФЗ and other regulations). We are committed to upholding these rights. Your principal rights include:
Right to Withdraw Consent: If we process your personal data based on your consent, you have the right to withdraw that consent at any time. For example, you can opt out of marketing emails by withdrawing consent (using “unsubscribe” link) or request deletion of your data. Withdrawal of consent will not affect the legality of processing prior to withdrawal.
Right of Access: You have the right to request confirmation whether we hold personal data about you, and to obtain a copy of your personal data we process, as well as information about how we use it. This includes the purposes of processing, the categories of data, the categories of recipients, and the envisaged retention period.
Right to Rectification: If any of your personal data is inaccurate or incomplete, you have the right to request that we correct or update it. You can typically correct some information directly in your account settings (e.g., update your profile). For other corrections, you may contact us.
Right to Erasure (“Right to be Forgotten”): You may request that we delete your personal data in certain circumstances – for instance, if the data is no longer necessary for the purposes, or if you withdraw consent and no other legal basis exists, or if you believe we processed data unlawfully. We will honor valid deletion requests and also instruct our processors (service providers) to delete data, subject to any legal requirements to retain information.
Right to Restrict Processing: You have the right to ask us to suspend processing of your personal data if you contest its accuracy, or you have objected to processing (pending verification), or if processing is unlawful but you oppose full erasure, or if you need the data for legal claims.
Right to Data Portability: To the extent required by law, you can request to receive your personal data that you provided to us in a structured, commonly used, machine-readable format, and you have the right to transmit that data to another controller where technically feasible (applicable for data processed by consent or contract).
Right to Object: In certain situations, you have the right to object to processing of your personal data, particularly if processed on legitimate interests. If you object, we will evaluate your request and will no longer process the data unless we demonstrate compelling legitimate grounds for the processing or if needed for legal claims. If your data is used for direct marketing, you have an unconditional right to object or opt-out.
Automated Decisions: Plazify generally does not make decisions based solely on automated processing which produce legal effects or similarly significantly affect you. In the event we implement such processes, you have the right not to be subject to a purely automated decision without human intervention.
Right to Lodge a Complaint: If you believe your rights under privacy laws have been violated, you have the right to lodge a complaint with the authorized data protection authority. In Russia, that is Roskomnadzor (Federal Service for Supervision of Communications, Information Technology and Mass Media). We encourage you to contact us first, and we will do our best to address your concerns.
Exercising Your Rights: To exercise any of your rights, please contact us via the contact details in Section 9. We may need to verify your identity before fulfilling your request (for example, by asking you to send the request from your registered email or to provide some identifying information). We will respond to your request within the timeframes established by law (generally within 30 days). Please note that some rights may be limited by law; for example, if fulfilling your request adversely affects the rights and freedoms of others, or if we must retain certain data by law, we may not be able to comply fully. In such cases, we will inform you of the reasoning.

10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make changes, we will post the new version on this page and update the “Last updated” date below. For significant changes (for example, if we start processing data for new purposes or change how user rights are exercised), we may also provide a more prominent notice of the change (such as a notice on our website’s homepage or a direct email notification). We encourage you to review this Policy periodically to remain informed about how we protect your data. Your continued use of Plazify after the effective date of the updated Policy will constitute your acceptance of the changes, to the extent permitted by law.
